How to get your business registered for e-invoicing through Staple
Before you can issue or receive e-invoices through Staple, your business needs to be registered with the relevant tax authority or e-invoicing network in each country where you operate. The exact registration steps vary by country โ some require certificates generated on a government portal, others require a signed mandate, and some require only a proof of ownership document.
Staple handles the registration on your behalf. You provide the company information and any country-specific artefacts (certificates, mandates, ownership documents), and Staple takes care of the technical registration with the tax authority or the Peppol network.
This section covers the preparation you need to do before contacting Staple to register your company.
Countries with a guided onboarding process
For the following countries, Staple has a structured onboarding process. Each country has its own preparation guide explaining what you need to gather in advance:
- ๐ฉ๐ช Germany โ proof of ownership document
- ๐ซ๐ท France โ signed mandate
- ๐ต๐ฑ Poland โ KSeF certificate, private key, and password
These are all for receiving e-invoices (Accounts Payable).
Other countries and Accounts Receivable
For the remaining nine supported countries โ ๐ธ๐ฌ Singapore ยท ๐จ๐ณ China ยท ๐ฒ๐พ Malaysia ยท ๐ง๐ช Belgium ยท ๐ฎ๐น Italy ยท ๐ช๐ธ Spain ยท ๐ง๐ท Brazil ยท ๐ฒ๐ฝ Mexico ยท ๐ฎ๐ณ India โ and for issuing e-invoices (Accounts Receivable) in any country, onboarding is handled directly by the Staple support team.
To start onboarding for any of these cases, contact Staple support at support@staple.io with the following information:
- Your business name and registered country
- Whether you need to register for Accounts Payable (receiving), Accounts Receivable (issuing), or both
- The country (or countries) you need to register in
- Your tax identification number(s) for each country
The Staple team will respond with the specific information and documents needed for your case.
Starting the registration
For every country โ guided or manual โ registration is initiated by contacting Staple support at support@staple.io. Once Staple receives your preparation documents, the team will register your business with the relevant tax authority or network.
Registration timelines vary by country. For example, Peppol-based registrations (Germany, France) typically take up to 72 hours for verification once all documents are received. KSeF registration (Poland) is usually faster once the certificate is uploaded.
